1. Scope

This Privacy Policy explains how DFW Eviction Pros, LLC collects, uses, discloses, and protects information when you (a) visit our website at dfw-eviction.com, (b) engage us for eviction or judgment recovery services, or (c) access our internal case management application (the "DFWEP App"), which connects to Google Workspace services via OAuth.

2. Information We Collect

From Clients, Property Managers, and Landlords

• Business and personal contact information (name, address, phone, email)
• Property details, lease documents, and rent ledgers
• Case information submitted for notice, filing, or service
• Billing and payment information for services rendered

From Tenants and Defendants (as part of eviction matters)

• Name, rental premises address, and contact information provided by our clients
• Payment and ledger history disclosed by our clients
• Court filings and correspondence related to the matter

From Google Account Holders Using the DFWEP App

• Basic profile information (email address, name) for authentication
• Gmail message metadata and content limited to eFiling confirmations and court correspondence
• Google Calendar events related to court hearings and case deadlines
• Google Drive files located in folders the user designates for case management

Automatically Collected

• Standard web server logs (IP address, browser type, pages requested, timestamps)
• Strictly necessary cookies for core site functionality (such as session and security). These are always active and do not require consent.
• No advertising or cross-site tracking cookies. We do not use Google Analytics or any third-party advertising trackers, and we set no analytics cookies. Site usage is measured with cookieless, privacy-preserving tools only (see Cloudflare Web Analytics below), so no cookie consent is required for analytics.
• Anonymized pricing-calculator inputs. On the /pricing page, we log the county, bedroom count, named tenant count, and computed Stage 1 / Stage 2 totals you enter so we can understand which scenarios visitors are pricing. We do not store your raw IP — only a SHA-256 hash salted with a server-side secret, which is not reversible. No name, email, or other identifying data is captured by the calculator.
• Cloudflare Web Analytics — a privacy-focused, cookieless pageview counter operated by Cloudflare. It does not use cross-site tracking and does not fingerprint visitors. See Cloudflare's policy for details.

We may collect and retain information you enter into our forms — including your contact details and case information — even if you do not complete or submit the form. You may request deletion of this information; see the Retention and Your Rights sections below.

3. How We Use Google User Data

The DFWEP App accesses Google Workspace services solely to provide case management functionality to our authorized users. Specifically:

• Gmail: Parse Tyler Technologies eFiling confirmation emails to automatically extract case numbers, hearing dates, and court assignments.
• Google Calendar: Create, read, and update court hearing events with venue, time, and case information so our staff and clients do not miss a court setting.
• Google Drive: Read and write case documents (notices to vacate, petitions, exhibits, invoices) inside folders the user has specifically designated for DFWEP case management.

4. How We Use Other Information

• Deliver eviction, notice, filing, service, and judgment recovery services
• Communicate about active matters, hearings, and case updates
• Prepare invoices and process payments
• Comply with Texas court rules, statutes, and service-of-process requirements
• Maintain records required under applicable retention laws
• Improve our services and internal workflows

5. How We Share Information

We do not sell personal information. We share information only as necessary to deliver services and comply with the law:

• Licensed attorney referrals: Jack O'Boyle & Associates, or any licensed Texas attorney the Client selects, for matters referred to county court appeal or similar licensed-attorney services. We recommend Jack O'Boyle & Associates based on their track record only; we have no financial relationship with them and receive no compensation for any referral.
• Texas courts and process servers: For filings, service of process, and case administration.
• Tyler Technologies: For electronic filing submission to Texas courts.
• Service providers: Hosting, document automation, and payment processing vendors bound by confidentiality obligations.
• Legal compliance: When required by subpoena, court order, or applicable law.

6. Data Security

We maintain administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit (TLS), access controls, least-privilege authentication, and secure credential storage. Google OAuth tokens are stored encrypted at rest and are revocable at any time by the user via their Google Account security settings.

7. Data Retention

Case files and related records are retained for seven (7) years following case closure, consistent with Texas records retention practice. Google OAuth tokens are retained only while active and are purged upon user revocation or account deactivation. Web server logs are retained for ninety (90) days unless required for security investigation.

8. Your Rights and Choices

• Revoke OAuth access at any time at myaccount.google.com/permissions.
• Request access to, correction of, or deletion of personal information we hold about you by emailing [email protected].
• Opt out of non-essential communications at any time.

We will respond to verified requests within the time frame required by applicable law. Certain information must be retained to comply with court orders, litigation holds, or legal obligations and cannot be deleted on request.

9. Children's Privacy

The DFWEP App and our services are directed to businesses, property managers, and legal professionals. We do not knowingly collect personal information from individuals under the age of eighteen (18). If you believe a minor has provided us with personal information, contact us and we will take appropriate steps to delete it.

10. Third-Party Links

Our website and application may link to third-party sites (court portals, Tyler Technologies eFiling, Google services). This Privacy Policy does not apply to those third parties. We encourage you to review their privacy practices.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised Effective Date. Continued use of our website, services, or the DFWEP App after an update constitutes acceptance of the revised policy.
